Inventory campaigns & barcode scanning

Inventory compares your theoretical stock (what SynkriaOps says) with your actual stock (what you count). The variance is valued in XAF and can automatically generate the accounting entry that resets your stock accounts to the right value.

For a quick count on one product or a few items:

  1. From the product pageInventory action.

  2. Enter the counted quantity in the relevant store.

  3. SynkriaOps shows the variance (counted quantity − system quantity) and its value in XAF at WAC.

  4. Validate: stock is corrected and a variance entry can be generated.

For a year-end inventory or a full count of a store, a campaign structures the work:

  1. Create the campaign

    Main menu → StockInventoryNew campaign. Choose the store and the scope.

  2. Count the items

    The campaign lists the products; enter the counted quantity line by line. The tracker shows variances and their value as you go.

  3. Validate the campaign

    Once counting is finished, validate: variances are applied to stock, with a variance entry if you wish.

  4. Export

    Export the campaign (variances, values) for your audit file.

A campaign goes through the statuses Draft → In progress → Validated, and can be cancelled as long as it is not validated.

From the mobile app, barcode scanning dramatically speeds up counting. Two distinct uses:

  • Scan during a campaign — scan each item (EAN-13 / EAN-8 / Code 128) to instantly enter the counted quantities.
  • Mass catalogue scan — scan a list of items to create the missing products in a batch (each unknown code offers a creation; duplicates are ignored). A single store per scan session.

When actual stock differs from theoretical stock, the variance has an accounting value. SynkriaOps can generate the entry that records this difference (stock loss or gain), so your balance sheet reflects physical reality after inventory.
